Your role

A fantastic opportunity exists in the HR&IR team. We are looking for an experienced Secretary to work three days per week in the Melbourne office from 9:00 am – 5:15 pm Wednesday to Friday. The purpose of this role is to provide high level administrative support to a Partner and a team of Lawyers.

Your responsibilities will include:

  • Building relationships with our clients and their support staff
  • Managing compliance with client relationship protocols
  • Organising and coordinating meetings
  • Diary management
  • Email and phone management
  • Document production and amendments including use of precedents and new documents
  • Transcription of digital dictation
  • Drafting correspondence
  • File management (principally electronic, as we move away from paper filing)
  • Conducting the billing cycle, including end of month billing
  • Organising travel requests
  • Reconciliation of corporate AMEX expenses
  • Assisting in maintaining client databases

What you need

This role will suit a candidate with litigation experience, ideally gained in a high volume and fast-paced environment. In addition, you will possess the following attributes:

  • Excellent prioritisation and organisational skills
  • Proven ability to multi-task
  • Strong understanding of MS Office applications, including Word, Excel, PowerPoint and other software
  • An adaptable and flexible nature
  • Ability to build strong client relationships
  • Ability to deal with confidential information in a discrete manner
  • High level of accuracy and attention to detail
  • The ability to clearly and confidently communicate at all levels
  • A proactive approach and high levels of initiative
  • High level of energy and enthusiasm
