Our Real Estate Team

Our powerful Australia-wide team is a market leader providing strategic advice to those involved in commercial, industrial, residential or infrastructure investments and development.  We work with companies across the sector including real estate investment trusts, management investments trusts, property developers, government departments, construction companies, landlord, consortiums, financiers and subcontractors to proactively address a host of issues that impact real estate project outcomes. 

The Real Estate team is one of the largest in the Perth office with over 28 legal staff and 4 Executives Assistants who work together on servicing a number of long-standing clients.

Your role

Due to growth and increased productivity of the team, a fantastic opportunity now exists for an experienced Executive Assistant with a desire to provide a high level of administrative support to join our busy and successful team.   In this position you will work closely with and provide a full range of support to a Partner, 2 Senior Associates, 2 Lawyers and 3 Paralegals. We are looking for a flexible team player, who can work autonomously but also enjoys contributing to the team as a whole.

As a key addition to this team, your responsibilities will include:

  • Drafting correspondence, document preparation (including the use of precedents), presentations and amendments as required
  • Due diligence and document registration and compliance
  • Liaising with clients as directed by fee earners
  • Coordinate meetings and making necessary travel arrangements
  • High level diary management involving discretion in determining and prioritising commitments
  • Answering calls and monitoring emails
  • High volume file management including opening and closing files, electronic and physical filing and scanning
  • Assisting in maintaining client databases
  • Conducting billing, including end of month billing and reporting with specific client requirements
  • Reconciliation of corporate AMEX expenses
  • General administrative tasks such as filing, photocopying, searches, formatting etc
  • Ad hoc duties as required

What you need

To be successful in this role, you will need strong organisational skills as well as a high level of initiative, energy and enthusiasm and the ability to follow through.   Ideally, you will also have legal experience, working in a fast paced and ever changing environment.  

In addition to this, you will possess the following attributes:

  • Flexibility and the ability to work under pressure and manage conflicting priorities
  • Exceptional organisational skills and ability to multi-task, prioritise and delegate
  • A high level of accuracy and attention to detail
  • A strong client focus and demonstrated ability to form enduring relationships with team members, clients (both internal and external) and industry experts
  • Advanced Microsoft application knowledge
  • A solid understanding of billing and financial systems and other software applications (Elite desirable)
  • A proactive approach and demonstrated initiative
