The Team

Our friendly and professional Client Floor team are at the very front line of the business, and are responsible for ensuring the smooth running of our busy and vibrant client floor. This team interacts with virtually all teams across the firm and manages a wide variety of client and staff meetings and events.

We are currently looking for a Client Floor Coordinator to join our Client Floor team in Canberra.

Your Role

Your role is to provide coordination of Client Floor requirements, for the Canberra office to ensure a seamless service and experience for our clients and employees.

These duties and responsibilities cover the main functions of the role, it does not cover all the tasks that will be required on a daily basis.

The main areas this position is responsible for include:

  • Coordinate all room requirements (Audio Visual, equipment, layout amendments, other facilities, food and beverage) for internal and external client meetings and functions;
  • Coordinate and accurately record room bookings including video conference bookings and events using the Events Management System (EMS), ensuring requests are confirmed with users;
  • Maintain data integrity in EMS and provide regular and adhoc reporting as required;
  • Coordinate the day-to-day operations of the Client Floor and ensure tasks are performed efficiently, accurately, professionally, timely and cost effectively;
  • Coordinate catering with agreed suppliers for functions and events, including menu planning, event requirements and budgets ensuring a high standard of service delivery in the Canberra office;
  • Provide coverage on the reception desk when required, meet and greet clients in a professional manner and provide in house tea and coffee service;
  • Provide back up support to Switchboard while providing reception coverage;
  • Develop and maintain trusted relationships with team members, partners and stakeholders across the firm;
  • Coordinate resource requirements for reception, events and functions. Supervise after hours events as required;
  • Provide coaching and development to team members, including training, rostering, leave approvals, regular one to one catch-ups, , escalating to manager and/or Talent where appropriate;
  • Proactively seek opportunities to improve processes and procedures and enhance the service offering;
  • Assist with key projects as required;
  • Collaborate with Business Operations teams nationally and drive the national alignment of policies, procedures, services and products;
  • Other ad hoc duties as required

More About You

We welcome applicants who have:

  • Minimum of 5-8 years' experience in corporate hospitality or restaurant operations, with room booking or restaurant reservation systems, AV and technology and events management hands-on experience
  • Experience working in a fast paced environment delivering premium service and offerings

Essential requirements are:

  • Hospitality diploma qualified
  • RSA, First Aid and Covid Food Hygiene Certification
  • Procurement and Vendor management experience
  • Ability to quickly develop strong, trusted relationships with key stakeholders and establish credibility and rapport
  • Strong organisational skills and attention to detail
  • Ability to adapt and be flexible to meet changing requirements and needs
  • Solutions focussed and confident to use initiative to make decisions
  • Strong proactive focus on the client and service excellence
  • Strong prioritisation skills, ability to work to deadlines and manage multiple priorities
  • Strong verbal and written communication skills
  • Proficient in excel and database programs
  • WHS and Emergency Management experience highly desirable
