The Team

As part of the Corporate Services team, the objectives of Business Services are to support the lawyers and staff to consolidate the Firm's position in the top tier, provide products and services to integrate all offices and to conduct continual process reviews.

Business Services comprises:

  • Office Services - search and lodgement, settlement attendance, document production, mail and courier management, fax, stationery, print room fleet management, disbursements/recoveries, purchasing, switchboard and word processing.
  • Premises - space planning, maintenance, moves, archiving, storage, safe custody, audio visual, repairs, security, car parking, management of sub-tenancies, environmental/energy initiatives and relevant business continuity plans 

Your Role

This role is responsible to the Business Services Manager in supporting the Corporate Services objectives. This will be achieved by taking on the responsibilities of the Coordinator role and having a  'hands on' involvement with the functional tasks and responsibilities of the team when required.

  • Coordinating the Canberra Business Services Team day-to-day from an operational perspective and team contact point for operational, process or service delivery related issues
  • Assist in the preparation of budgets and investigate and report on monthly variances
  • Maintain strategic supplier and service vendor relationships, such as landlord, cleaning, stationery, records management, etc.
  • Participate in the national alignment of policies, procedures, services and products for ongoing improvements.
  • Identify project opportunities, conduct continual process reviews - to internal and external benchmarks
  • Representing Corporate Services in regular meeting as required meetings
  • Consider environmental and sustainability issues in relation to purchasing
  • Ensure all relevant WHS guidelines and requirements are met
  • Ensure all relevant Security guidelines and requirements are met
  • Emergency and BCP coordination to meet both the tenancy and office requirements
  • Subject matter expert in Search & Lodgement for the Canberra office
  • Induction of new starters and office-wide training as required
  • Managing the Planned Preventative Maintenance Calendar and associated vendor relationships
  • Active involvement in local or national projects in line with business strategy
  • Assist in overflow of work from the Business Services Assistant role(s) across Office Services and Premises and as required, give hands on assistance to the team, e.g. staff absences, capacity peaks, etc.

We welcome applicants who have:

  • 5-8+ years experience working within a similar role;
  • First Aid Officer;
  • White Card;
  • ATO & Defence Clearance;
  • Sound knowledge of the BCA & OHS Act;
  • Tertiary qualifications desired;
  • Exceptional attention to detail;
  • Prioritisation skills;
  • Excellent communication skills;
  • Customer service experience;
  • Financially commercial competence.
