Your Role
We have two exciting permanent opportunities for Facilities & Workplace Advisors to join our Corporate Services team. These are broad, hands-on roles responsible for delivering high quality facilities, records, and business centre services to our Partners, staff, and visitors. Operating at an advisor level, you will be expected to work with autonomy, exercise sound judgment, and take a proactive approach to the day-to-day running of your office - anticipating needs, driving issues to resolution, and acting as a trusted contact for the people around you.
Your Duties
As a Facilities & Workplace Advisor, you will be a versatile and proactive team member involved in a broad range of duties including:
Facilities & Workplace
- Act as the dedicated facilities advisor to legal groups and staff - fielding day-to-day queries, providing clear and practical guidance on space, maintenance, and workplace matters, keeping people informed of progress, and escalating to the Team Leader where required
- Proactively coordinate contractors for repairs and maintenance, anticipating issues before they arise and ensuring works are completed on time and to standard
- Support space management across the office including allocations, moves, locker and car park assignments - staying ahead of changes and flagging emerging needs early
- Take ownership of WHS compliance activities, workplace inspections, and consumable supplies - maintaining high standards without waiting to be prompted
- Log, prioritise, and action service requests through ServiceNow, exercising good judgment on urgency and escalation
Records & Archive
- Guide lawyers and staff on records decisions - what to retain, archive, or destroy - in line with firm policy, acting as a knowledgeable and reliable point of contact
- Proactively progress approved destruction batches through the pipeline as the local executor, keeping the process on track
- Handle archive retrievals, file movements, and day-to-day records queries in a timely and accurate manner
Business Centre & Mail
- Deliver in-house document production including printing, binding, finishing, and collation to a high standard
- Coordinate document production handoffs to our outsourced provider - managing job briefs, timelines, and quality checking returned work
- Manage all mail and courier operations accurately and on time, and maintain stationery and consumable stock
- Process supplier invoices in line with firm procedures
Technology & Improvement
- Use ServiceNow day-to-day to manage, track, and close service requests - keeping records accurate and up to date
- Proactively engage with AI tools and workflow automation as they are introduced, completing training and applying new tools to your work
- Identify opportunities to improve processes and practices, and bring ideas to the Team Leader for consideration
- Maintain accurate SOPs for your work area and support the onboarding of new team members

We welcome applicants who have:
- Experience in a facilities, records, or business centre role - ideally 2+ years in a corporate or professional services environment, with a track record of working independently at an advisor level
- A proactive mindset - you anticipate issues, follow through without prompting, and take pride in the standard of your work
- Strong communication skills and the confidence to advise and liaise with Partners, lawyers, and external vendors
- Proficiency in Microsoft Office and genuine openness to technology, digital tools, and AI-assisted workflows
- Excellent attention to detail, strong time management, and the ability to manage competing priorities in a busy environment
- Knowledge of WH&S requirements; First Aid or Fire Warden experience is desirable
- A collaborative approach and willingness to support your broader team when needed
- An ability and willingness to undertake physical and mobile work across the office
