Your Role 

 

This Premises Assistant role is an exciting opportunity for an ambitious individual with Facilities Management knowledge to join the busy and dedicated Business Services Group.

The Premises team have a clear vision and shared sense of purpose. The team broadly looks at strategic and operational areas: space management and planning, facilities maintenance and vendor management, churn, archiving, security, car parking, environmental/energy initiatives and business continuity planning/emergency management.

This role reports to the Business Services Team Leader, and will involve all aspects of premises management, archiving and safe custody, premises repairs and other duties to support our clients and the team.

 

Your main responsibilities would be, but not limited to

 

  • Manage maintenance requests to ensure continuity of the facilities with minimum disruption to business operations
  • Undertake floor walks to identify maintenance and cleaning issues and report accordingly
  • Undertake random spot checks of contractors
  • Arranging work permits and escorting contractors when required
  • Ensure files for archiving are collected from floors regularly and are processed in a timely and efficient manner
  • Assist with the maintenance of safe custody storage and database
  • Liaise with the landlord's building supervisor, and/or building management regarding building maintenance, cleaning, security any other issues
  • Coordinate and prioritise incoming calls and ensure clients are provided with feedback in terms of job status, delays and completion times
  • Issue and manage security access passes
  • Coordinate fire wardens listing and ensure they have been trained
  • Participate in the national alignment of policies, procedures, services and products
  • Assist with the development of statistical information to monitor services and highlight areas for improvement
  • Assist with internal audits to ensure compliance with current procedures      
  • Perform other duties as directed by the Business Services Team Leader

 

What You Need

 

To be successful in this role you will have a strong customer service focus and prior experience with facilities management in a professional services environment. In addition, the successful candidate will possess the following:

 

  • Experience in a similar position
  • Proven experience working in facilities maintenance
  • Flexible, adaptable working style
  • Ability to work adeptly within a small team
  • Strong attention to detail with solid problem solving skills
  • WHS, Compliance and Risk Management experience
  • Excellent communication skills
  • Well organised, eye for detail and go getter mindset
  • Computer literate (word/excel) intermediate
  • A common-sense approach and initiative when resolving issues
  • Client relationship experience with a strong customer centric focus
  • Understanding with fitout process and small works
  • Contractor and Vendor Management skills
