Your Role

 

We have an exciting opportunity for a permanent full time Business Services Assistant (BSA) to join our Canberra team.

 

The role has a 'hands on' involvement with all the functional tasks and responsibilities, particularly in operational areas including search and lodgement, printing/photocopying/scanning, mail, couriers, fax, stationery, printer fleet management, disbursements and recoveries, purchasing, space planning, premises and maintenance, moves, archiving, storage, safe custody, security, car parking,  environmental/energy initiatives and relevant business continuity plans.

 

Your duties

 

The successful candidate will be responsible for a broad range of duties within the Business Centre such as: 

 

  • Assist and respond to all queries in a pleasant, helpful and professional manner
  • Printing, photocopying, scanning and document finishing (e.g. binding, laminating etc.)
  • Sorting, delivery, collection and distribution of mail, incoming and outgoing couriers
  • Purchase, stocktake and maintenance of all stationery, mail and courier consumables
  • Arranging contractors for any tenancy repairs and maintenance services
  • Liaising with Building Management for security and premises requests
  • Undertaking Work Health and Safety (WHS) inspections and ensuring contractor's insurances, MSDS and other WHS paperwork is up-to-date in our system
  • Assisting with Search and Lodgements
  • Processing supplier invoices and recharging costs to the matter(s)
  • Assist in maintaining printer fleet and escalating issues when required
  • Assisting with input of data for national monthly reports
  • Assist with national and local projects
  • Identify opportunities to improve processes and practices to enhance the service offering
  • Work closely with other team members to ensure a seamless operation
  • Other ad hoc duties as required

 

We welcome applicants who have

 

  • At least one year experience in a similar role in a professional environment
  • Strong customer service experience and focus
  • Excellent time management and organisational skills
  • Strong verbal and written communication skills, including the ability to liaise with people at all levels
  • Solutions-focussed
  • Proficient in MS Office suite
  • Self-motivation with the ability to work well both independently and in a team environment
  • An ability and willingness to undertake physical and mobile work
  • First Aid Certificate and/or Fire Warden experience is desirable

 

To be successful in this role you must have a high level of initiative, attention to detail, energy and enthusiasm. Ideally, you will also have experience working in a sometimes fast paced, ever-changing environment.
