Purpose of the Role
An exciting opportunity exists for a Legal Executive Assistant to join our Melbourne media team. This is a permanent full-time position. This role is providing high quality administrative support to enable this busy team to deliver legal services to clients which include mainstream media outlets, among others. This team is a small team but one which delivers results which occasionally appear in the news headlines, the most recent of which being Ben Roberts-Smith v Fairfax, and Pesutto v Deeming.
As a key addition to this team, some of your responsibilities will include:
- Proactive diary and email management
- Document production and amendments
- Handling confidential and sensitive material, including working on restricted matters with information barriers in place
- Co-ordinating with personnel in other MinterEllison offices and counsel to ensure all necessary material and arrangements for interstate hearings, mediations and trials are in place when needed
- Liaising with clients and stakeholders to foster relationships, and maintaining client databases and key contact information
- Monthly client billing and client/matter reporting
- Assist with general financial hygiene including timesheet entries/modification, debt collections, voucher requests, client monies, client reporting
- Maintaining the partner on duty roster for pre-publication legalling
- Court filing, either via online portals or liaising with search and lodgement staff to file hard copies
- Arrange general and trust account receipting and disbursing of funds
- File management, including matter opening and closing, and electronic and physical filing
- Travel arrangements and meeting coordination
- Reconciling corporate expenses
- Other general administrative tasks and ad hoc duties as required
More About You
To be successful in this role you will be a strong communicator with high attention to detail. The successful candidate will also be a highly organised individual with a proactive and collaborative attitude. We welcome applications from candidates who can demonstrate:
- 5+ years previous legal EA experience
- Excellent prioritisation and organisational skills
- High level of accuracy and attention to detail
- The ability to work independently and to communicate with clarity and confidence at all levels
- Strong understanding of MS Office applications, including Word, Excel, PowerPoint and Teams;
- Experience with Elite 3E preferred, or experience using similar software and willingness to learn
- Familiar with pdfdocs or Adobe, and willingness to do training if necessary
- A demonstrated commitment to high internal/external service standards
- A proactive approach and high levels of initiative
- Discrete and respectful of confidentiality
