Duties & Responsibilities


This position description covers the main requirements of the role. It does not cover all tasks required daily

 

  • Plan, organise and deliver high quality events in the Melbourne office, at a state level and nationally ranging from small to large events
  • Manage all aspects of allocated events end-to-end including logistics, invitations, registrations, communications, post attendee liaison, budgets etc. while working closely with stakeholders
  • Support the Melbourne Office Managing Partner and various Industry and Line of Business portfolios in planning and delivery of impactful events and activities for clients and employees
  • Ensure event processes, calendars, budgets and protocols are followed including debrief reports to relevant partners and Client Market Growth (CMG) team
  • Assist national Marketing and Events team members with delivery of in-person and digital events
  • Work closely with client services team in event management
  • Undertake research, form relationships, manage and negotiate with vendors and external consultants to offer solutions
  • Support firmwide and portfolio marketing campaigns, contributing event ideas, and list management
  • Work with relevant CMG Managers on initiatives, events, communications and sponsorships. Tailor approach by way of events and sponsorships which align to targets and prospects in the local region
  • Manage the existing sponsorships and partnerships in the local office, work with relevant CMG manager to assess new sponsorships and make recommendations to the senio partner group and deliver key events and sponsorships aligned to the local/regional markets plan
  • Liaison with internal design team on graphics associated with events
  • Collaborate and work with the CMG team to achieve shared goals and optimise client and stakeholder outcomes and identify opportunities for process improvement
  • Assist and support (from time to time) production of video content shot involving partners and staff in Melbourne office

 

Knowledge, skills & experience

 

  • A tertiary qualification in event management, marketing or suitable relevant experience
  • A minimum of 5 years' experience in event management in a high volume, corporate environment
  • Experience in a professional services organisation would be preferred
  • Have a client service mindset
  • Well-developed organisational and time management skills, with an innate ability to prioritise and meet deadlines
  • Have a clear understanding on how to operate electronic marketing systems for external communications around events
  • Excellent planning and time management skills, including an ability to handle conflicting deadlines and work with multiple stakeholders at all levels.
  • Ability to work on high volume of events with various deadlines and at different stages of their event cycle
  • Proven ability to work collaboratively with all areas of a business – fee earners, firm leadership, business operations
  • Experience in delivering high quality events, with a focus on the overall excellent client experience
  • Strong attention to detail and project coordination skills
  • Excellent communication skills, both written and verbal
  • Ability to manage conflicting requests where required and communicate with key stakeholders to ensure a high quality of service is provided
  • Sound knowledge of Microsoft suite of products, including Word, PowerPoint and Excel
  • Experienced in using Microsoft Teams for webinars and meetings
  • An ability to work autonomously and as part of a team
