The Role
This is a permanent opportunity working as a Compliance Coordinator within the GCO Compliance Team.
The Compliance Coordinator provides essential administrative and operational support to the Compliance Team, managing intake workflows, triaging queries, system actions, follow-ups, and general compliance administration. This enables Compliance Analysts and Senior Compliance staff to focus on AML risk assessment, judgement, and escalation activities.
Key Duties and Responsibilities
In this role, some of your responsibilities will include:
Intake & Request Administration
- Monitor Compliance intake queues and new requests
- Perform initial administrative checks on incoming requests (basic completeness, correct request type, required fields populated)
- Assist where required to finalise requests in systems once Compliance Analysts confirm assessments are complete
- Update request statuses to reflect progress, completion, or pending information where required
- Support smooth end-to-end movement of requests through the Compliance workflow
Client and Matter Opening in Elite 3E (the firm’s Practice Management System)
- Assist with opening clients and matters in Elite 3E following confirmation from the Compliance Team that AML requirements have been satisfied
- Enter required compliance-related data into Elite 3E (e.g. client/matter numbers, risk indicators, administrative compliance fields)
- Ensure Elite 3E records align with internal AML system / Intapp outcomes
Compliance Inbox & General Query Management
- Monitor the Compliance inbox throughout the day
- Triage incoming emails and queries, distinguishing between general procedural queries, requests requiring Compliance Analyst action, and urgent or time-sensitive matters
- Respond directly to routine or administrative queries where appropriate
- Delegate or escalate queries to Compliance Analysts or senior team members based on urgency, nature and complexity
- Maintain visibility over open queries to ensure timely responses and follow-ups
Follow-up & Stale Request Management
- Actively follow up on outstanding information required from matter teams, Executive Assistants, and other internal stakeholders
- Identify and chase stale or inactive requests, including where delays are caused by missing documents, unanswered queries or incomplete intake information
- Update systems and notes to clearly reflect follow-up actions taken so the Compliance Team can track progress
Data Entry & System Support
- Perform data entry tasks across compliance systems where instructed and required, including intake systems, matter maintenance, third-party payors, Intapp CRA, Intapp MRA and FirstAML
- Assist with maintaining clean, complete administrative records where required
- Flag data issues or inconsistencies to Compliance Analysts for review where required
- Support interim registers or spreadsheets during transition phases as required
FirstAML & Document Handling (Administrative Support)
- Assist with administrative setup of FirstAML cases where the Compliance Team requires data entry and case creation
- Coordinate document collection logistics, including tracking receipt of documents and following up missing documentation
- Upload documents to the appropriate system location without performing verification or assessment, and notify the relevant Compliance Analyst that the matter is ready for review
General Ad Hoc Administrative Support
- Provide general administrative assistance to the Compliance Team as required, including scheduling support and delegating tasks and queries from working queues
- Maintain templates and standard communications where required
- Support day-to-day operational needs to improve team efficiency and responsiveness
- Coordinate resources and assist with workflow management across the Compliance Team as required
- Support interim process where required
For clarity, this role does not involve:
- Conducting AML risk assessments
- Approving CRA, MRA, or FirstAML outcomes
- Performing screening, adverse media analysis, or verification
- Applying or overriding risk ratings
- Providing legal or policy interpretation
These responsibilities remain with Compliance Analysts and Senior Compliance staff.
More About You
Ideally, you will have prior experience in an administrative, operations, or coordination role, preferably within a professional services or legal environment. You will also:
- Have strong organisational skills and excellent attention to detail
- Demonstrate strong time management skills with the ability to manage multiple competing priorities, at times under pressure
- Be solutions-focused and confident to use initiative to make decisions within defined parameters
- Have the ability to quickly develop strong working relationships with team members and key stakeholders and establish credibility and rapport
- Possess strong verbal and written communication skills
- Be adaptable and flexible to meet changing requirements and needs
- Have the ability to work well both independently and in a team environment
- Be proficient with the Microsoft Office Suite, including Word and Excel
- Have a willingness to upskill in new technologies and compliance systems; experience with Intapp, Elite 3E, Appian or FirstAML is desirable but not a pre-requisite
- Demonstrate a strong ethical mindset and integrity in handling sensitive and confidential information
- Have an interest or willingness to develop an understanding of the Firm's compliance obligations, including AML/CTF requirements
