About The Job
MinterEllison is looking for an e-Billing Coordinator to join our Business Systems team, based in either our Sydney or Brisbane office. Reporting to the Head of Business Systems, you’ll play a key role in making sure our invoices are accurate, compliant with client billing requirements, and submitted through our clients’ e-billing platforms on time, so that our people can focus on delivering great work for clients.
This is a detail-focused, service-oriented role for someone who enjoys problem solving, takes pride in getting things right, and can build strong working relationships with lawyers, billing teams and client contacts.
This is a 0.6 FTE role. We’re open to the working pattern that suits you best, either school hours across five days a week, or three full days a week.
Key Responsibilities Include
- Prepare, validate and submit invoices to clients through e-billing platforms, in line with client billing guidelines and agreed timeframes
- Review time entries and narratives for compliance with client requirements, and work with lawyers and their support teams to resolve issues before invoices are submitted
- Monitor submitted invoices, manage rejections and queries from clients, and make sure corrections are made and resubmitted promptly
- Set up and maintain client and matter information in e-billing platforms and our time and billing system, including rates, billing codes and e-billing formats
- Be a go-to person for e-billing questions, providing guidance to lawyers, practice teams and Finance colleagues on client billing requirements
- Track invoice status and maintain accurate records and reporting on submissions, rejections and turnaround times
- Identify trends and root causes of invoice rejections, and recommend improvements to processes and systems
- Collaborate with the broader Finance and Client Billing team on projects, automation and process improvement initiatives
We Welcome Applications From People Who Have
- Experience in billing, accounts receivable or a similar role, ideally within a law firm or professional services firm or other complex environment
- Exceptional attention to detail and a methodical approach to checking and reconciling information
- The ability to manage competing deadlines, particularly around month-end and client billing cycles
- Clear and professional communication skills, with the confidence to follow up with lawyers and clients
- Comfort working with time and billing systems and third-party platforms, with strong Excel skills
- A proactive, curious approach to problem solving and process improvement
- Experience with legal e-billing platforms, LEDES or UTBMS formats is highly regarded but not essential
