Your Role


An exciting opportunity exists to join our Company Secretarial team within Transaction Solutions as a Legal Billing Assistant/ Executive Assistant. We are looking for someone who thoroughly enjoys and has experience in legal billing as approximately 90% of the workload is related to legal billing.


As key addition to this team, some of your responsibilities will include:


  • Processing and finalising bills, including sending them to clients and uploading to client's billing portals, eg: VendorCafe
  • Providing support in financial and matter management
  • Processing purchase orders (PO) and estimate uplifts as part of the matter maintenance to ensure seamless running of the EOM billing process
  • Project managing a high volume of bills
  • Assisting with establishing systems for billing arrangements
  • Maintaining a regular review of current financial processes and working with estimates
  • Managing files, including opening and closing, both electronically and physically
  • Performing conflict clearance checks and managing confidential information
  • Drafting both electronic and hard copy correspondence, as well as document preparation and amendments, including urgent daily distribution of letters of demand by express post/courier.


What you need:


To be successful in this role, it's essential to bring experience from a role focused on billing processing. You must also have excellent attention to detail and be proactive.


You will also possess the following attributes:


  • Strong understanding of client billing
  • Experience using systems such as Elite 3E, Aderant or Infinity law (desirable)
  • Experience working in processing high volumes of bills
  • Advanced Microsoft Word and Excel skills including document and spreadsheet creation
  • High level of accuracy/attention to detail, organisation ability and able to work under pressure esp during EOM period
  • A strong client focus and demonstrated ability to form enduring relationships with peers, industry experts and clients.
